Please read these terms before submitting your application. They’re here to make sure everyone knows where they stand — we’ve kept them as straightforward as possible.
1. Your volunteer place
Submitting an application does not guarantee you a volunteer place. We’ll confirm your place by email once your application has been reviewed and accepted.
Your place is personal to you and cannot be transferred to anyone else.
We reserve the right to decline any application or withdraw a confirmed place if we have good reason to do so.
2. Age
You must be 16 or over to volunteer. If you are 16 or 17, a parent or guardian must give their consent before your place can be confirmed. We’ll ask for this as part of the process.
3. Your commitment to us
Once you’ve confirmed your place, we’re counting on you. We ask that you:
- Attend your agreed shift and arrive on time for your briefing
- Let us know as soon as possible if your circumstances change and you can no longer attend
- Follow the instructions of your Team Lead and the event organisers at all times
- Treat attendees, exhibitors, guests, fellow volunteers and staff with respect
- Represent Oh So Stagey Fan Fest in a positive and professional way
4. Our commitment to you
We’ll make sure you’re properly looked after. We commit to:
- Giving you a clear briefing before the event
- Assigning you a role that suits your skills and preferences where possible
- Making sure you have scheduled breaks your shift
- Providing your volunteer t-shirt before you start
- Being available to support you if something goes wrong on the day
5. What you’ll receive
Your benefits as a volunteer are set out on our Volunteer page. These are provided as a thank-you for your time and are not a form of payment. Volunteering at Oh So Stagey Fan Fest is unpaid and does not create an employment relationship of any kind.
Benefits are only available to volunteers who complete their agreed shift. If you leave early without prior agreement, we reserve the right to withhold some or all benefits.
6. Team Lead roles
If you’re offered a Team Lead role, we may ask you to provide evidence of relevant experience or qualifications before your place is confirmed. We’ll let you know clearly what we need and give you reasonable time to provide it.
Team Leads take on additional responsibility on the day and are expected to support their team, communicate with event organisers and help manage their assigned area of the event.
7. Conduct on the day
We want Oh So Stagey Fan Fest to be a safe, welcoming and enjoyable experience for everyone. We ask all volunteers to uphold that standard.
We will not tolerate behaviour that is discriminatory, aggressive, threatening or disrespectful toward anyone at the event whether they are attendees, exhibitors, guests, fellow volunteers or staff.
If a volunteer’s behaviour falls below the standard we expect, we reserve the right to ask them to leave the event. In that case, benefits will not be provided.
8. Health, safety and welfare
Please let us know in advance if you have any health conditions, access needs or other considerations that might affect your role. We’ll do our best to accommodate you.
If you feel unwell or unsafe at any point during the event, please tell your Team Lead or a member of the organising team immediately.
First aid provision will be available on site throughout the event.
9. Photography and content
During the event, photography and video content may be captured for use in Oh So Stagey Fan Fest’s marketing and social media. By volunteering, you agree that images or footage in which you appear may be used for these purposes.
If you have any concerns about this, please let us know before the event and we’ll do our best to accommodate your wishes.
10. Cancellation
If you need to cancel:
Please let us know as soon as possible by emailing hello@ohsostagey.co.uk. We understand that life happens, we just ask for as much notice as you can give so we can find cover.
If we need to cancel or postpone the event:
In the unlikely event that Oh So Stagey Fan Fest is cancelled or postponed, we will contact all confirmed volunteers as soon as possible. We are not liable for any costs you may have incurred, such as travel or accommodation, so please bear this in mind when making arrangements.
11. Your information
We’ll use the information you provide in your application to manage your volunteer place and communicate with you about the event. We won’t share it with third parties without your consent.
