Attendee Terms

We want Oh So Stagey Fan Fest to be a joyful, welcoming and safe event for everyone. By buying a ticket or attending the event, you agree to these terms.

1. Tickets

You’ll need a valid ticket to enter the event. Tickets must be bought from us or an authorised ticket seller.

Tickets are generally non-refundable and non-exchangeable, unless we say otherwise or the law requires it. Please do not resell tickets for profit. We may cancel tickets that are copied, altered, resold without permission, or obtained fraudulently.

2. Venue rules

The event takes place at the NEC Birmingham, so all attendees must follow NEC rules, safety instructions, and reasonable requests from event staff, security, stewards and NEC staff.

If NEC rules and these terms ever conflict, NEC rules come first.

We or the NEC may refuse entry, search bags, manage queues, limit access to areas, or remove someone from the event where needed for safety, security or good conduct.

3. Event changes

We’ll do our best to deliver the event as advertised, but guests, performers, vendors, panels, workshops, meet & greets, timings and layouts may change.

Guest appearances are always subject to availability, work commitments, travel, illness and personal circumstances.

A change to the programme, timetable or guest line-up does not automatically mean a refund.

4. If the event is postponed or cancelled

If the event is postponed, we’ll let ticket holders know their options, which may include transferring tickets to a new date.

If the event is cancelled, we’ll explain the refund or transfer process.

We are not responsible for travel, hotels, food, parking, outfits, merchandise or other costs if the event changes, is postponed or cancelled.

5. Be kind and respectful

Oh So Stagey Fan Fest is for theatre fans to enjoy themselves in a friendly, inclusive space. Please treat attendees, cosplayers, vendors, guests, performers, staff, volunteers, security and NEC staff with respect.

We will not tolerate harassment, bullying, intimidation, hate speech, discrimination, unwanted physical contact, stalking, aggressive behaviour, sexual comments, or anything that makes others feel unsafe.

Anyone behaving in this way may be removed from the event without refund and may be banned from future events.

6. Cosplay is not consent

Cosplay is very welcome, but cosplay is not consent!

Please do not touch, hug, grab, follow, film, photograph or comment on someone in a way that makes them uncomfortable.

Always ask before taking close-up photos or videos of someone’s cosplay. If they say no, respect that straight away.

Costumes are not an invitation for comments about someone’s body, appearance, gender, sexuality or identity.

Props and costumes must be safe and suitable for a public indoor venue. We or the NEC may ask you to remove or store anything unsafe or unsuitable.

7. Respect guests and performers

We know meeting guests and performers can be exciting, but please remember they need breaks too.

Do not follow, crowd, film, photograph, interrupt, touch, shout at or block guests when they are walking around, eating, resting, moving between sessions, or clearly on a break.

Please only approach guests during official meet & greets, signings, photo opportunities, panels, workshops or other approved sessions.

If a guest, staff member, volunteer or security guard asks you to step back, stop filming, move on or leave someone alone, please do so immediately.

8. Photos, filming and social media

You may take casual photos and short personal videos, unless signage, staff, the NEC, a guest, performer, vendor or attendee says otherwise.

Please do not film full panels, performances, workshops, meet & greets or paid sessions. Live streaming, professional filming, commercial photography or press activity needs written permission from us.

By attending, you understand that we, the NEC, press or approved creators may film or photograph parts of the event. You may appear in crowd shots or general event footage.

9. Children and young people

Children under 16 must be accompanied by an adult aged 18 or over. Adults are responsible for the children in their care at all times.

Some sessions, areas, products or activities may have age restrictions, and we may ask for proof of age.

10. Accessibility

We want the event to be as accessible as possible.

Please check our accessibility information before attending and contact us in advance if you have specific access needs. We’ll make reasonable adjustments where we can.

Some queues, sessions and areas may need to be managed for safety, capacity or venue reasons.

11. Vendors and purchases

Vendors and exhibitors are independent businesses. If you buy something from a vendor, that purchase is between you and the vendor. They are responsible for their own products, prices, refunds, returns and customer service.

12. Personal belongings

Please look after your belongings. We are not responsible for lost, stolen or damaged items unless caused by our negligence.

13. Safety and restricted items

Please follow all safety instructions and keep aisles, exits, queues and walkways clear.

Do not bring weapons, illegal substances, unsafe props, alcohol for sale or sharing, or anything dangerous or unsuitable for the event.

Only assistance dogs are allowed unless we and the NEC have approved otherwise.

14. Commercial activity

Please do not sell, leaflet, collect donations, run competitions, promote a business, conduct surveys, film commercially or carry out press/media activity without our written permission.

15. Liability

Nothing in these terms limits liability where the law does not allow it, including death or personal injury caused by negligence.

Otherwise, we are not responsible for travel costs, hotel costs, missed sessions, guest changes, loss of enjoyment, lost property, or indirect losses.

16. Final bit

We may update these terms if needed for safety, legal, venue, ticketing or operational reasons.

These terms are governed by the law of England and Wales.

Where did the idea for Oh So Stagey Fan Fest come from?

Musical Theatre Market grew so much faster than we anticipated and Stagey feels like a natural progression

What have you learned from running Musical Theatre Market?

To not be afraid of criticism or notes, people genuinely want to enjoy and be part of these types of events and the more we listen, the more we create events that the community treasure. Stagey folk are incredibly kind and generous and they reward those who act with integrity.

What would people be surprised to know about you?

Hmm…I’m fluent in Afrikaans – is that interesting though 😊? Also, I really wish I was funny, you know, had comedic qualities...

What is your role behind the scenes?

I’m much more on the logistics side of things, whereas Alexandra is the creative. We make a pretty good team

What’s your ultimate comfort musical?

Oh easy, Come From Away

Who’s the organised one and who’s the chaos gremlin?

Chaos gremlin is most certainly Alexandra!

What’s your emergency drink of choice?

Latte, definitely latte

What’s your phone camera roll mostly full of?

Pretty much everything Alexandra doesn’t have space for on hers…that girl loves to take photos!

What would you say to someone who’s nervous about coming?

We get it – coming into a new environment can be tricky for some, but you're absolutely welcome here! We've built Oh So Stagey Fan Fest to feel like a community, not a crowd. Our team are friendly, the space is navigable and there's a quiet space available if you need a moment to recharge.

Oooh yes please!! We love stopping for chats with fellow stagey fans!
